Job description

Key Responsibilities:



Administrative Support:

  • Schedule, confirm, reschedule, and manage patient appointments.
  • Maintain accurate patient records in the Electronic Health Records (EHR) system.
  • Handle patient inquiries and provide exceptional customer service in person, over the phone, and via email.
  • Manage office communications, including phone calls, emails, faxes, and mail.
  • Prepare and organize patient charts, ensuring all necessary documentation is up to date.
  • Maintain office filing systems for medical and administrative records, both electronic and paper-based.


Patient Support & Coordination:

  • Welcome and check in patients, creating a warm and professional environment.
  • Assist with patient intake, collecting personal, insurance, and medical history details.
  • Provide patients with instructions for procedures, exams, and post-visit care.
  • Address patient concerns related to appointments, billing, and insurance.
  • Ensure a seamless patient experience from arrival to departure.


Billing & Insurance:

  • Verify insurance details and input accurate billing codes.
  • Assist patients with billing inquiries, process co-pays, and explain insurance coverage.
  • Manage claim submissions and follow up on outstanding balances or issues.
  • Collaborate with the finance team to ensure accurate financial records for patient services.


Office Organization & Supply Management:

  • Monitor and maintain office supplies and inventory to keep the practice well-stocked and organized.
  • Ensure a clean and professional office environment.
  • Keep medical forms, brochures, and other patient resources updated and readily available.
  • Oversee office equipment maintenance and troubleshooting.


Team Collaboration & Support:

  • Coordinate with medical, administrative, and support staff to ensure smooth daily operations.
  • Assist with special projects and additional tasks as directed by supervisors or management.
  • Adhere to office policies and healthcare regulations for efficiency and compliance.
  • Support the coordination of patient referrals and follow-up appointments.
