Job description

Provider Support Specialist
Location: Walnut Creek, CA (In-office)
Schedule: Full-time, Monday through Friday, 8:30 AM - 5:00 PM

We are seeking a highly organized and proactive Provider Support Specialist to join our team. This in-office role is critical in ensuring a seamless experience for our providers through effective onboarding, credentialing, and ongoing support. This position works closely with the Provider Support Manager, Chief Medical Officer, Medical Directors, Director of Operations, and departmental managers to address provider needs and contribute to their success.

Key Responsibilities

Provider Onboarding & Credentialing

  • Coordinate the credentialing process for new providers, ensuring all requirements are met.
  • Facilitate new provider onboarding, including conducting orientation sessions and providing necessary resources.
  • Set up Gmail, Zoom, and Valant EMR accounts for new providers, ensuring seamless system integration.

Provider Support

  • Act as the primary contact for provider concerns, offering timely and effective resolutions (e.g., correcting procedure codes, troubleshooting technical issues).
  • Assist with re-training initiatives for providers as needed.
  • Collaborate with providers to address and resolve Valant EMR system and answering service issues.

Team Collaboration

  • Partner with the Provider Support Manager to execute daily operations and address provider needs.
  • Collaborate with leadership, including the Chief Medical Officer and departmental managers, on provider-related initiatives.
  • Participate in provider meetings, take notes, and follow up on action items.

Continuous Improvement

  • Identify and suggest enhancements to onboarding and support processes.
  • Provide feedback to improve provider experiences and streamline workflows.

Qualifications

Education

  • High school diploma or GED required.

Experience

  • Minimum of 2 years in customer service, administrative support, or a healthcare-related role.
  • Experience communicating directly with physicians is strongly preferred.

Skills

  • Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) and Zoom.
  • Tech-savvy, with the ability to troubleshoot and support providers with software like Valant EMR (preferred).
  • Strong organizational, multitasking, and communication skills.
  • Problem-solving mindset with high attention to detail.
  • Ability to collaborate with diverse teams in a fast-paced environment.
  • Strong personality to manage diverse physician personalities effectively.
  • Firmness and professionalism in upholding organizational procedures.
