Job Summary
Our client is seeking a Mailroom Lead to oversee comprehensive facility operations.
Location: Federal Way, WA
Key Responsibilities
- Mailroom & Logistics Services: Receive, sort, file, and distribute incoming and outgoing mail, interoffice correspondence, overnight packages, and deliveries (USPS, FedEx, UPS, Airborne). Conduct quality checks, generate daily shipment closing reports, and drop off mail at the Post Office.
- Supply Chain & Inventory Management: Oversee weekly inventorying, ordering, and stocking of office supplies across floors or campus locations using approved vendors and systems like PRISM. Monitor usage and identify opportunities to optimize supply costs and maintain proper stock levels. Maintain clean, organized storage and supply rooms; deliver and restock supplies in common areas and copy rooms.
- Front Desk & Security Operations: Provide coverage for the reception desk, ensuring proper visitor sign-in/sign-out, distribution of identification, and maintenance of security logs and paperwork. Support the Safety & Security team with administrative tasks, procurement, and badge creation. Maintain and update safety bulletin boards, keep first aid kits stocked, and serve on the Safety Committee to deliver basic first aid or emergency response when needed.
Qualifications
- Strong administrative software proficiency (Outlook, Excel, Word): Hands-on experience navigating administrative software to handle daily documentation, communication, and reporting.
- Cross-functional & reception flexibility: Ability to step in and handle front desk coverage, visitor sign-ins, and varied office support duties as needed during peak or slow times.
- Physical capability: Ability to lift and maneuver heavy boxes, incoming packages, and supplies (with team assistance available).
Experience
- Prior background in sifting/sorting departmental mail, processing daily incoming/outgoing mail, and managing carrier pickups (FedEx, UPS, USPS).
- Hands-on experience operating digital postage machines and handling time-sensitive overnight dispatches (such as live payroll and AP checks).
Skills
- Technical Skills: Outlook, Excel, Word.
- Systems Familiarity: PRISM, TMSS (for inventory and supply chain).
- Mailroom Operations: Operating digital postage machines, managing carrier pickups (FedEx, UPS, USPS).
- Soft Skills: Cross-functional flexibility, adaptability to varying workloads, organizational skills.
Additional Requirements
- Ability to lift and maneuver 5–50 lbs.
- Standard hours: 8:00 AM to 4:30 PM, Monday through Friday.
- Flexible option: 7:30 AM to 4:00 PM, Monday through Friday.
