Job Summary
Our client is seeking a dedicated Patient Service Specialist to manage appointment scheduling, insurance verification, and patient information, ensuring a seamless and accurate patient experience.
Key Responsibilities
- Schedule patient appointments, utilizing existing tools to facilitate securing the right appointment with the right medical provider or team, and indicating special needs (e.g., special accommodation, interpreter, etc.).
- Communicate insurance participation, financial responsibility (if applicable), and time of service policy to the patient population.
- Ensure that patients understand the arrival and check-in process, pre-appointment instructions, patient safety precautions, and other relevant information. Email specialty patient forms if needed.
- Obtain patients’ insurance and demographic information and ensure all obtained information is registered in the Electronic Medical Record (EMR) system with 100% completeness and accuracy. Accurately complete required tasks and fields in pre-registration.
- Maintain knowledge of insurance requirements. Perform real-time insurance verification and interpret responses. Inform patients of insurance requirements for services provided.
- Help identify and document trends using an established protocol.
- Escalate complex issues/cases to a senior specialist or supervisor/manager for resolution and execute approved remedies.
- Support and participate in a collaborative team-oriented environment, including participating in team discussions about complex patient scheduling needs.
- Take ownership of resolving scheduling conflicts and communicate with the management team and care providers to resolve scheduling issues.
- Collaborate with all co-workers and follow up as appropriate regarding reported complaints, problems, and concerns.
- Ensure "warm transfer" of calls/inquiries are routed to the correct party for resolution. Escalate cases as appropriate.
- Collect pre-registration information to address outstanding Epic work queue accounts.
- Perform outbound calls to complete Epic referral scheduling.
- Successfully complete all required trainings.
- Maintain patient privacy and confidentiality according to HIPAA requirements at all times.
Qualifications
- Patient scheduling experience.
- Proficiency with EMR systems.
Experience
- Experience in patient scheduling.
Skills
- EMR proficiency.
- EPIC (preferred).
- Customer Service (preferred).
- Strong communication and collaborative skills.
- Ability to maintain patient privacy and confidentiality (HIPAA).
Additional Requirements
- Availability to work Monday to Friday, 9:00 AM - 5:00 PM.
- Bilingual in Spanish is required.
