Job Summary
Our client is seeking a Medical Front Desk Specialist to be the primary point of contact for patients entering the facility. This role focuses on delivering exceptional customer service, managing patient intake, verifying insurance coverage, and ensuring smooth administrative operations within a fast-paced healthcare environment. The ideal candidate exhibits strong communication skills, professionalism, and the ability to maintain composure under high-volume conditions.
Key Responsibilities
- Patient Intake & Check-In: Greet patients warmly upon arrival, verify demographic and insurance details, collect necessary IDs, and complete accurate check-in procedures in the Electronic Health Record (EHR) system.
- Insurance Verification & Co-Pay Collection: Confirm active insurance coverage, obtain necessary pre-authorizations or referrals, and collect co-pays, co-insurance, or outstanding balances at the time of service.
- Scheduling & Call Handling: Manage incoming phone inquiries, schedule or reschedule patient appointments, answer patient questions, and direct calls to appropriate clinical staff.
- Administrative Operations: Maintain a clean and organized waiting area, manage patient check-outs, process incoming medical records, and handle routine clerical duties (faxing, scanning, filing).
- Patient Experience: Diffuse patient concerns with empathy and professionalism, ensuring a smooth, welcoming, and efficient patient journey.
- Compliance: Maintain strict adherence to HIPAA guidelines, patient privacy regulations, and organizational compliance standards.
Qualifications
- Familiarity with basic medical terminology, commercial and government insurance plans (Medicare/Medicaid), and co-pay collection practices.
- Strong verbal and written communication skills with a professional, compassionate demeanor.
- Demonstrated ability to multitask, prioritize tasks, and remain calm during high-volume peak hours.
- Excellent attendance record and strong commitment to workplace punctuality.
- High level of attention to detail and accurate data entry capabilities.
Experience
- Minimum of 1–2 years of customer service or administrative support experience in a healthcare, medical office, or revenue cycle setting.
Skills
- Proficiency with Electronic Health Records (EHR) / Practice Management software (e.g., Epic, Cerner, AthenaHealth) and Microsoft Office Suite.
Education
- High School Diploma or equivalent required; Associate’s degree or administrative certification preferred.
Additional Requirements
This role offers flexibility with up to 4 openings at different schedules:
- Monday - Friday, 6:30 AM - 3:00 PM
- Monday - Friday, 10:30 AM - 7:00 PM
- Wednesday - Saturday, 7:00 AM - 5:30 PM
- Monday - Friday, 8:30 AM - 5:00 PM
