Job Summary
Our client is seeking a Registration Representative responsible for ensuring a positive check-in experience for patients and visitors. The role involves managing multiple phone lines, processing payments, scheduling appointments, verifying insurance, and maintaining accurate patient records.
Responsibilities / Job Duties
- Warmly welcome patients and visitors upon entrance, ensuring a positive initial check-in experience.
- Answer and direct multiple phone lines in a timely manner, including regularly monitoring and clearing voicemails throughout the day.
- Accurately process patient payments via credit card or cash, ensuring precise reconciliation and daily balancing of the cash drawer.
- Efficiently schedule, reschedule, and confirm patient appointments within the system.
- Utilize multiple web portals and tools to verify insurance coverage prior to patient appointments.
- Assist patients during checkout by scheduling follow-up appointments and providing required paperwork, orders, and lab requisitions.
- Update and verify patient demographics and necessary documentation in the Electronic Medical Record (EMR) system prior to visits.
- Manage daily assigned task lists and collaborate with team members to ensure all operational duties are met.
- Monitor schedule flow, proactively communicate potential delays to back-office staff, and endeavor to keep provider appointments on time.
- Assist ill or distraught patients, troubleshoot patient inquiries or concerns, and maintain a neat, orderly reception area.
- Float to various facility locations within the county as needed for coverage or training purposes.
Minimum Education and Experience Qualification Requirements
Education
- High school diploma or equivalent (GED).
- Completion of a medical front office program or equivalent on-the-job training with a focus on customer service.
Qualifications
- Proven ability to navigate and accurately enter data within an Electronic Medical Record (EMR) system.
- Basic administrative competencies, including typing, call transferring, faxing, and general office machinery operations.
- Excellent interpersonal, verbal, and written communication skills for phone and face-to-face interactions.
- Strong organizational, problem-solving, and conflict-resolution abilities.
- Capability to work productively on a computer for extended periods.
- Willingness to travel/float (10–30%) to local sites within the county.
- Valid authorization to work in the United States.
Experience
- Bilingual fluency in English and Spanish preferred.
Schedule / Shift
- Shift Schedule: Monday through Friday, 8:30 AM – 5:30 PM
- Travel Expectation: 10–30% local travel required within the county for coverage or training.
