Job Summary
Our client is seeking an experienced Information Associate. The primary responsibilities of this role include medical record retrieval and digital indexing, release of information and privacy compliance, as well as supporting patient and operational workflows. The ideal candidate will play an integral role in ensuring patient data is handled efficiently and securely to support clinical operations.
Key Responsibilities
- Track, locate, and retrieve electronic and physical health records for patient appointments and provider requests.
- Sort and index incoming medical documents into the correct electronic health record (EHR) charts.
- Verify patient identifiers and provider sign-offs on incoming reports before scanning into the EHR.
- Process clinical diagnostic records and pair them with appropriate outstanding orders.
- Review and process Authorization for Release of Information forms ensuring compliance with HIPAA regulations.
- Assist visitors and callers, guiding them through release paperwork and addressing their queries.
- Process prescription refill requests and support patient digital workflows.
- Manage daily administrative tasks, including sorting mail and managing digital fax queues.
- Collaborate with clinical care teams to support patient-centered care initiatives.
Qualifications
- Strong working knowledge of HIPAA privacy guidelines and state medical record disclosure laws.
- Proficiency with electronic health record (EHR) systems and document scanning technologies.
- Reliable transportation for business-related movement between service sites.
- Excellent written and verbal communication skills with a focus on customer service and patient privacy.
- Strong analytical capabilities and judgment in evaluating complex record requests.
Experience
- Preferred experience with Electronic Health Record (EHR) systems and medical records in a community health center.
Skills
- Proficiency in standard medical terminology and Microsoft Office software.
- Excellent interpersonal and communication skills.
- Ability to interact empathetically with diverse cultural and socioeconomic backgrounds.
