Job Summary
Our client is seeking a Referral Specialist to manage patient referrals, schedule appointments, and ensure efficient communication between patients and healthcare providers. The primary focus is on improving patient care through effective scheduling and referral management.
Key Responsibilities
- Answer 10-20 faxes with patient referrals through entire process to schedule appointments.
- Review, process, and track incoming medical referrals to clear high-priority backlogs.
- Register new patients and collect accurate medical histories using standardized intake forms.
- Request medical records, verify insurance eligibility, and collect cash-pay authorizations when needed.
- Schedule new consultations and follow-up appointments across multiple provider schedules.
- Efficiently navigate dual EMR systems (Athena and Prognocis) and utilize Updox for electronic faxing and document indexing.
- Return all patient voicemails and internal portal messages within 48 hours.
- Assist with basic clinic opening and closing procedures to maintain office security.
- Once trained, manage patient communications by answering and making 10-20 calls daily.
Qualifications
- Prior experience processing medical referrals, verifying insurance, and scheduling in a medical office setting.
- Proven track record of handling high-volume patient phone calls with high customer satisfaction.
- Exceptional punctuality, reliability, and dedicated team-first mentality.
- Strong familiarity with insurance requirements and medical record request workflows.
Skills
- Direct experience with AthenaHealth or Prognocis EMR software highly preferred.
- Experience with Updox electronic faxing and indexing systems.
- Strong communication skills with a focus on empathy, active listening, and problem-solving.
