Job Summary
Our client is seeking a Receptionist responsible for managing incoming and outgoing calls, distributing mail, maintaining mail room equipment, and supporting various administrative tasks. This role plays a crucial part in ensuring smooth operations within the organization and maintaining confidentiality of all company information.
Responsibilities / Job Duties
- Answers incoming calls and transfers calls from 8:00 a.m. to 5:00 p.m.
- Receives calls in the morning from an answering service and forwards messages to doctors, participant families, or different agencies.
- Distributes and date stamps incoming mail.
- Reviews new applications, date stamps, assigns application numbers, makes copies of applications, and distributes them to relevant sites and co-workers.
- Orders supplies and ensures the supply room is stocked.
- Copies and assembles new hire packages and pamphlets.
- Updates the daily sign-in sheet and phone list.
- Creates new file folder labels and employee labels for the mail room.
- Maintains equipment in the mail room such as copiers, stamp machines, and shredders.
- Replenishes the stamp machine and takes mail to the mailbox.
- Makes copies for different departments, collating, and mailing.
- Prepares FedEx packages for the CEO, Board Members, and all departments.
- Maintains the confidentiality of all company procedures, results, and information about participants, clients, or families.
Minimum Education and Experience Qualification Requirements
Education
- High School diploma or its equivalent with 1-2 years of experience as a receptionist.
Qualifications
- Strong written communication skills
- Strong computer skills: Microsoft Office, including Word, Excel, Access, and PowerPoint
- Detail oriented
- Some knowledge of medical terminology desirable, but not required
- Work experience in a health care or social services organization desirable, but not required
Schedule / Shift
Monday through Friday, 8 A.M. - 5 P.M.
