Public - Responsibilities

• First Impression Ambassador: Greet patients in a warm, friendly manner and manage the entire intake and checkout process.
• Phone Management: Handle a minimum of 25 calls per shift (at lower-volume sites) with a target of capping holds under 1 minute for a "warm transfer" to clinical providers.
• System & Task Management: Manage patient accounts in the EMR (scheduling, registration, documentation), enter membership leads/demographics into Salesforce, and actively work the task queue (emails, text messages).
• Clinic Upkeep & Inventory: Keep the clinical space clean to meet brand standards, check room inventory, restock supplies, and partner with the coordinator to reorder.
• Hotline & Escalation: Answer the medical hotline and escalate immediate patient issues or negative feedback to the dedicated member services/de-escalation team.

Required Skills

• Technical System Literacy: Ability to quickly learn and work within EMR systems, Salesforce, and task management queues.
• Administrative & Phone Excellence: Exceptional administrative execution, with the specific ability to manage and triage customers over the phone quickly.
• Structural Communication: Clear, articulate, and highly organized communication style appropriate for a high-caliber clientele.

Preferred Skills

• High-End Phone Triage: Experience managing high-volume inbound phone lines and making rapid, accurate routing decisions under pressure.
• Luxury Brand Representation: Prior experience maintaining and upholding a specific luxury corporate brand image.

Schedule/Shift

• Shift Times:

  • Saturday, Sunday 7am to 7pm

     

• Holidays: 365-day operation; must work 6 holidays per year (3 high-demand, 3 low-demand) paid at time-and-a-half.
