Job Summary
We are seeking a detail-oriented and customer-focused Front Desk Scheduler to join a fast-paced medical practice. In this role, you will serve as a primary point of contact for patients, handling high-volume inbound scheduling inquiries, updating electronic medical records (EMR), and coordinating patient appointments across multiple provider schedules. Schedule: Monday – Friday, day shift (Flexibility between 7:45 AM – 5:00 PM)

Key Responsibilities

Call Management & Scheduling: Answer and manage 200+ inbound calls daily in a fast-paced medical environment. Schedule, reschedule, and cancel patient appointments according to provider availability, office guidelines, and specialty workflows.

Patient Access & Data Entry: Obtain, verify, and update patient demographic, insurance, and contact information. Accurately document all patient interactions within the EMR/practice management system.

Care Coordination: Review provider schedules to maximize clinical efficiency and minimize gaps. Communicate appointment instructions, preparation requirements, and follow-up guidelines clearly to patients.

Patient Experience & Escalation: Address general inquiries professionally and deliver excellent customer service. Promptly escalate clinical questions or complex patient concerns to the appropriate department or clinical lead.

Interdepartmental Collaboration: Work closely with providers, nursing staff, and front-office personnel to maintain smooth patient flow and office operations.

Compliance & Administration: Maintain strict patient confidentiality and adhere to HIPAA standards, privacy regulations, and organizational policies at all times. Perform basic administrative and clerical duties as assigned.
Required Qualifications

Experience: Minimum of 1+ years of experience working in a medical office, clinic, or healthcare setting.

Technical Skills: Strong data entry skills with high accuracy and attention to detail. Comfort navigating Electronic Medical Record (EMR) and practice management systems.

Preferred Qualifications

Experience with NextGen EMR or similar practice management systems.

Background in high-volume medical call centers, specialty practices, multi-provider clinics, or patient registration roles.

Familiarity with demographic/insurance verification processes, provider template structures, and specialty scheduling workflows.
