Job Summary
Our client is seeking a diligent and organized Front Desk Coordinator to ensure efficient and professional management of reception activities. The primary responsibilities involve greeting patients, managing check-in/check-out processes, scheduling appointments, and overseeing the reception area.
Key Responsibilities
- Greet patients and visitors promptly and courteously while maintaining an organized reception area.
- Complete patient check-in and check-out processes, notify clinical staff of arrivals, and help coordinate timely patient flow.
- Register new patients and update demographic, contact, and insurance information in electronic health records.
- Schedule, confirm, reschedule, and cancel appointments according to provider availability and practice protocols.
- Answer, screen, and route incoming phone calls, taking complete messages and directing clinical concerns to appropriate staff.
- Verify insurance eligibility and benefits while identifying missing referrals or authorizations.
- Collect copayments, deductibles, and outstanding balances, following established cash-handling procedures.
- Process referrals, medical records requests, incoming documents, and patient portal messages within established timelines.
- Maintain strict confidentiality of patient records in compliance with HIPAA and privacy policies.
Qualifications
- High school diploma or equivalent.
- Customer service, reception, or administrative experience.
- Strong verbal and written communication skills.
- Accurate data-entry skills, basic math, and general computer proficiency.
- Ability to organize competing priorities and stay professional in a fast-paced setting.
- High reliability in attendance and punctuality.
- Bilingual communication skills (strongly preferred).
Experience
- 2+ years of front-desk experience in a physician office, clinic, or healthcare environment is preferred.
- Experience with Electronic Health Records (EHR), practice-management systems, and insurance eligibility tools (ModMed experience is a plus).
- Working knowledge of medical terminology, appointment types, referral processes, and billing concepts.

Additional Requirements
- Full-time position, Monday to Friday.
- Standard business hours typically from 8:30 AM – 4:30 PM or 9:00 AM – 5:00 PM.
- Flex hours required based on operational coverage needs.
