Job Summary
Our client is seeking a Collections Specialist to serve as the first point of contact for clients while supporting billing and collections efforts. This role combines front desk responsibilities with financial administrative tasks, ensuring a smooth client experience and timely payment resolution.
Key Responsibilities
- Answer and direct incoming phone calls in a professional manner.
- Welcome and assist clients, visitors, and vendors.
- Address general inquiries or route them to the appropriate team.
- Maintain a clean and organized reception area.
- Collect and process client payments (in person and over the phone).
- Accurately record payments and provide receipts.
- Review account balances and assist with payment-related questions.
- Monitor accounts for overdue balances.
- Conduct outbound calls regarding past-due accounts.
- Coordinate payment arrangements and resolve billing issues.
- Maintain detailed records of collection activity.
- Escalate delinquent accounts when appropriate.
- Perform general administrative duties (data entry, filing, scanning).
- Handle incoming and outgoing mail.
- Provide support on additional office projects as needed.
Qualifications
- 2+ years of Medical Admin/Billing experience.
- Strong working knowledge of Microsoft Excel (Pivot tables, formulas, VLOOKUPS).
- Basic understanding of accounts receivable or billing processes.
- Ability to manage and document account activity accurately.
- Proficiency with standard office tools (email, calendars, data entry systems).
- Prior experience in AR, collections, or medical billing is preferred.
- Previous front desk or receptionist experience is preferred.
- Experience working with payer groups or insurance-related accounts is preferred.
- Familiarity with CRM or billing systems is preferred.
Skills
- Technical skills: Proficiency with Microsoft Excel, pivot tables, formulas, and VLOOKUPS.
- Soft skills: Effective communication, teamwork, and organizational skills.
