Medical Assistant
Position Overview
We are seeking a dedicated and compassionate Medical Office Assistant to perform vital administrative duties in an ambulatory care setting. Working under the supervision of a healthcare provider and/or registered nurse, you will serve as the administrative backbone of our clinic. In this role, you will be the first point of contact for patients—including veterans—ensuring they receive exceptional, empathetic care while maintaining highly efficient daily office operations.
This is a federal contract position subject to the Service Contract Act (SCA). All necessary IT equipment will be provided to the selected candidate.
Key Responsibilities
As a Medical Office Assistant, your daily duties will span patient coordination, office administration, and operational support:
Patient Coordination & Customer Service

Reception: Welcome and screen incoming visitors and telephone callers. Assess patient needs, provide approved organizational information, and route technical inquiries to appropriate clinical staff.

Scheduling: Coordinate and schedule patient appointments, including external referrals, pre-admission testing, and follow-ups. Confirm appointments and provide preparatory instructions to patients.

Patient Registration: Complete preliminary registrations for new patients and update demographic, insurance, and contact information for returning patients.
Administrative & Clerical Support

Records Management: Establish, organize, and maintain patient charts, administrative files, logs, and clinic records. Retrieve files and perform basic data entry or report generation.

Correspondence: Draft, type, and distribute general correspondence, memoranda, and letters. Manage, date-stamp, and distribute incoming mail.

Billing & Documentation Support: Review administrative forms for accuracy, returning incomplete paperwork to medical staff for correction. Address basic patient or staff inquiries regarding bills.

Inventory & Facility Support: Monitor, inventory, and order office and clinical supplies. Audit department bills to ensure prompt processing.

Onboarding Support: Help orient new employees and residents to the facility's schedules, procedures, and administrative requirements.
Qualifications & Requirements
Education & Experience

High School Diploma or GED is required.

Up to 1 year of technical or specialized training in medical office support, medical terminology, medical billing/insurance, or office administrative procedures is highly preferred.

Proficiency with basic computer systems and standard office software.

Equipment: All necessary IT equipment will be issued by the organization.

Dress Code: Professional clinical/business attire. Acceptable attire includes scrubs, business suits, dress slacks/skirts (below the knee), collared shirts/blouses, and professional closed-toe shoes (conservative walking shoes, flats, or clean sneakers).
