Job Summary
Our client is seeking an experienced Executive Assistant to provide comprehensive support to their senior executive team, consisting of the CEO, COO, and CFO. This role requires the ability to manage executive calendars, coordinate complex travel arrangements, and maintain the professional readiness of the executive suite. The ideal candidate will possess strong problem-solving skills and the ability to work autonomously in a fast-paced corporate environment.
Key Responsibilities
- Provide extensive support to the CEO, including heavy gatekeeping and communication management.
- Manage complex calendar scheduling and conflict resolution for the COO, including travel arrangements.
- Provide standard administrative support to the CFO, focusing on basic scheduling and requests.
- Maintain the physical and virtual logistics of the executive suite, ensuring readiness for meetings.
- Act as a liaison between the executive suite and Board of Directors, managing board book compilation and meeting coordination.
- Oversee financial administrative tasks, including reconciliation of bank statements and approval of invoices and payments.
- Administer HR tasks, such as time-off requests and corporate mailings.
Qualifications
- A minimum of 4 to 6 years of experience supporting multiple senior executives simultaneously.
- Proven experience in a fast-paced, high-volume corporate environment with shifting priorities.
- Intermediate to advanced proficiency in Microsoft Word and Outlook for calendar management and communication.
- Effective business writing skills and the ability to maintain discretion and handle confidential information.
- Strong problem-solving skills and the ability to work independently under pressure.
- Experience in a structured, professional setting such as Financial Services, Legal, or Corporate Medical is preferred.
Skills
- Proficiency in virtual meeting platforms such as Microsoft Teams, Zoom, and Webex.
- Capability to anticipate needs and proactively manage executive tasks.
- Strong organizational and communication skills with an ability to handle high-level liaison duties.
- Skilled in using software platforms like Sage/Quadient, Beanworks, ADP, and OnBase is a plus.
Additional Requirements
- Ability to work on-site, Monday through Friday, from 9:00 AM to 5:00 PM with occasional flexibility for additional hours.
