Job Summary
The Medical Records Coordinator is responsible for managing, organizing, and maintaining patient health records to ensure accuracy, accessibility, and compliance with regulatory standards. This role plays a critical part in supporting patient care, safeguarding confidential information, and facilitating the timely exchange of medical records.
Key Responsibilities

Health Information Management: Orchestrate the organization and maintenance of patient records within the EHR and physical filing systems, ensuring all data is easily accessible and correctly indexed.

Release of Information (ROI): Direct the secure processing of medical record requests from patients, providers, and legal entities in strict alignment with HIPAA and privacy regulations.

Digital Integration & Imaging: Oversee the digitization of clinical documentation by scanning, uploading, and meticulously indexing external records to ensure a unified and comprehensive patient history.

Records Auditing & Quality Control: Conduct regular reviews of patient charts for completeness, proactively following up with clinical staff to secure missing documentation and resolve inaccuracies.

Legal & Regulatory Support: Facilitate the preparation of medical documentation for internal audits, compliance reviews, and formal legal inquiries while managing record retention and destruction schedules.

Interdisciplinary Collaboration: Serve as the primary point of contact for internal and external record inquiries, supporting broader data integrity initiatives and quality improvement projects across the practice.
