Job Summary
We are seeking an Executive Assistant to support our client's operations with a range of administrative and coordination tasks. Primary responsibilities include scheduling, onboarding, and providing executive support to ensure smooth daily operations.
Responsibilities / Job Duties
- Check voicemail/call log each morning for call-outs, lateness, etc., and send notification emails
- Meeting scheduling and calendar coordination
- Interview scheduling with managers/candidates
- Support recruiting coordination as needed
- Onboarding for new hires, including documentation, training setup, IT/email coordination, and workstation readiness
- Supply and vendor ordering across offices, including Staples/Amazon orders
- Support leadership team with ad hoc administrative tasks
- Assist with customer service/shared inbox triage and route inquiries to correct departments
- Apartment/housing-related coordination, including maintenance communication and rent-ready tracking
- Potential support with client assistance/housing applications and data entry
- Assist with credentialing support and payer/provider application follow-up
- Light invoicing/grants support as needed
- Possible timesheet approval support for contract staff
- Occasional support with event coordination, registrations, forms, and meeting logistics
- Possible support with presentations and reports
Minimum Education and Experience Qualification Requirements
Education
- Associate’s or Bachelor’s degree in business, or equivalent work experience
Qualifications
- 3+ years of relevant experience ideal
- Healthcare and/or nonprofit background preferred but not required
- Some exposure to medical billing, credentialing, invoicing, or related admin-finance support is helpful
- Experience in executive support, onboarding, and coordination-heavy environments preferred
