Job Summary
Our client is seeking a Medical Assistant for a cross-trained role focused on providing exceptional patient service while supporting both front office operations and clinical care. This position serves as a key liaison between patients, providers, and staff by coordinating patient flow, assisting physicians with clinical duties, and ensuring accurate scheduling, documentation, and financial processes in compliance with practice policies.
Key Responsibilities
- Greet patients professionally and ensure a welcoming, organized reception area.
- Answer and route phone calls efficiently; schedule appointments according to established guidelines.
- Verify patient demographics and insurance information; scan and index documentation into the practice management system.
- Explain appointment requirements, estimated charges, and financial responsibility to patients.
- Check patients in and out; collect payments at time of service, manage past-due balances, and arrange payment plans per policy.
- Post charges and payments accurately; balance daily transactions and prepare deposits.
- Maintain patient charts, prepare encounters, process medical records requests, and manage mail, faxes, and office supplies.
- Close the office daily according to protocol.
- Escort patients to exam rooms and prepare them for examinations or treatments.
- Obtain and document vital signs and patient histories.
- Assist physicians during exams and procedures as requested.
- Perform spirometry and other breathing tests as ordered.
- Conduct allergy prick and intradermal testing; administer allergy injections per physician-approved schedules.
- Monitor patients for adverse reactions following injections and assist with emergency response when needed.
- Call in prescriptions as directed by providers.
- Maintain clinical supplies, medications, and emergency equipment.
- Provide patient education as appropriate and document care in the medical record.
- Maintain patient confidentiality and comply with HIPAA and compliance standards.
- Participate in anaphylaxis drills and assist with patient flow monitoring.
- Attend staff meetings and complete required training (CPR, OSHA, HIPAA, Compliance, Information Security).
- Maintain proficiency in practice management and electronic medical record systems.
- Perform other duties as assigned by the Practice Manager.
Qualifications
- High school diploma required
- Minimum of 1 year of experience in a medical office
- Proven ability to collect payments, balance a cash drawer, and handle financial conversations professionally
- Working knowledge of medical terminology, scheduling, and insurance processes
- Experience with electronic health records and practice management systems (GE Centricity a plus)
- Strong multitasking, communication, and organizational skills
- Ability to remain calm and professional in fast-paced or stressful situations
- Neat, professional appearance; bilingual skills a plus
Skills
- Proficiency in practice management and EMR software (Athena Health is a plus), email, and internet applications.
- Strong written and verbal communication skills; ability to handle conflict and challenging situations with professional composure.
- Ability to perform multiple tasks simultaneously with accuracy; neat and professional appearance.
