Job Summary
Our client is seeking a Medical Records Specialist responsible for managing and maintaining medical records. This role focuses on the creation of medical records for new patients within the EMR and Workflow Management Tool, as well as handling inbound faxes and liaising with referring physician offices to request missing information or documents.
Key Responsibilities

Retrieve medical records accurately and efficiently through EMR access, fax, and other document systems.

Scan, attach, and file patient documents within the appropriate medical record systems.

Manage and organize patient paperwork, including delivery tickets and incoming correspondence.

Communicate with pharmacy staff and other departments to fulfill document requests.

Prepare and send outgoing correspondence and fax documents as needed.

Maintain both electronic and manual filing systems while ensuring proper organization and accessibility.

Route incoming mail and correspondence to the appropriate department or personnel.

Protect the confidentiality, integrity, and security of patient information in accordance with HIPAA and company policies.

Assist with maintaining office efficiency and organization.

Attend departmental meetings and participate in pharmacy in-services.

Represent the company in a professional manner and maintain positive working relationships with team members.
Skills

High school diploma or GED required.

Approximately 3 years of related administrative or secretarial experience.

Experience working with medical records, EMR systems, or healthcare documentation preferred.

Strong attention to detail with excellent organizational and multitasking abilities.

Ability to maintain confidentiality and handle sensitive patient information responsibly.

Strong communication skills and the ability to collaborate across departments.
