Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Chief Operating Officer (COO) and another senior executive within our hospital system. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Key Responsibilities
- Provide high-level administrative support to the COO and one other executive, including calendar management, travel arrangements, and meeting coordination.
- Draft, edit, and proofread correspondence, presentations, and reports.
- Serve as a liaison between executives, internal departments, and external stakeholders.
- Prepare agendas, take detailed meeting notes, and follow up on action items.
- Manage confidential information with discretion and professionalism.
- Assist in special projects, event planning, and departmental initiatives as needed.
- Maintain organized files, records, and documentation for executive reference.
- Order food for the team.
- Handle ad hoc administrative tasks to support executive priorities and ensure efficient operations.
Qualifications
- Bachelor’s degree preferred.
- 3+ years of executive support experience, ideally in a healthcare or hospital setting.
- Exceptional organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- High level of professionalism, discretion, and integrity.
- Ability to anticipate needs and proactively manage executive priorities.
