Job Summary
We are seeking a detail-oriented, self-motivated Certified Medical Assistant to support two high-performing Surgical Oncology providers. This role requires a professional who is equally skilled in back-office clinical procedures and front-office surgical coordination. You will act as a primary clinical resource across multiple sites, ensuring seamless patient care from the initial consultation through surgical recovery.
Key Responsibilities
- Direct Patient Care: Room patients, obtain vital signs, and ensure all medical records and documentation are prepared for the appointment.
- Surgical Assistance: Assist providers with in-office oncology procedures and screenings.
- Clinical Maintenance: Set up instruments and equipment; clean and sterilize rooms and tools between visits; maintain infection control and equipment logs.
- Care Coordination: Handle test ordering, authorizations, and prescription refills as directed by the provider.
- Case Management: Coordinate all aspects of surgery, including scheduling with hospitals/surgery centers, securing surgical assistants, and managing pre-op testing requirements.
- Patient Navigation: Serve as the main point of contact for patients, providing clear pre-op/post-op instructions and managing follow-up expectations.
- Insurance Oversight: Obtain prior authorizations and verify insurance eligibility for both surgical procedures and office visits.
- Schedule Management: Use the EMR (Greenway Intergy) to match physician availability with patient needs; maintain accurate master schedules and provide daily agendas to the medical team.
- Front Office Flow: Manage inbound calls, collect co-pays, and ensure accurate chart entry and medical record handling.
- Office Leadership: Assist in training new staff members, coordinate coverage for staff absences, and help implement clinic policies and procedures.
Qualifications
- Current Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) credential.
- Minimum 2 years of experience in surgical scheduling, front-office coordination, or high-volume clinical support.
- Experience with EMR systems (Greenway Intergy preferred).
Skills
- Strong knowledge of medical terminology, surgical oncology practices, and healthcare reimbursement policies.
- Strict adherence to HIPAA, OSHA, and safety protocols to maintain patient confidentiality and infection control.
- Skill in performing screenings and assisting with minor in-office surgical procedures.
- Ability to organize complex surgical cases while managing a busy clinical floor.
- Clear verbal and written communication skills to effectively bridge providers, patients, and external facilities.
- Ability to work independently in a fast-paced environment and travel between multiple clinical locations.
- Ability to triage multiple requests from providers and patients with professionalism and urgency.
- Ability to deal with patients calmly and pleasantly, especially when handling concerns or complaints.
