Job Summary
Our client is seeking a dedicated Front Office Lead to serve as the central point of operational command for their practice. This role involves high-level surgical coordination, hands-on clinical support, and administrative oversight to ensure the clinic is well-staffed, compliant with safety protocols, and optimized for maximum patient throughput and provider efficiency. An experienced Medical Assistant is required for this position.
Key Responsibilities
- Surgical Navigation: Coordinate all components of the surgical process including coordination with surgeons, securing facilities, and ensuring pre-operative testing is completed.
- Template Architecture: Build and maintain physician schedules within the EMR, proactively adjusting templates to optimize patient flow and productivity.
- Master Schedule Oversight: Ensure the daily schedule is accurate, update the team on schedule changes, and provide daily agendas for providers.
- Patient Care: Manage chart preparation, perform clinical screenings, assist in procedures, and refill prescriptions.
- Clinical Environment: Oversee maintenance of a sterile environment, manage instrument sterilization, equipment logging, and supply chain for exam rooms.
- Information Management: Coordinate the exchange of medical records and retrieve lab results, imaging reports, and referral documentation.
- Staff Coordination: Act as the primary contact for staff call-outs, reassign duties to ensure coverage, and manage vacation/leave logs.
- Training & Development: Lead the orientation and training of new hires, ensuring adherence to clinic policies and protocols.
- Problem Resolution: Address patient complaints and manage schedule changes during inclement weather.
- Strategic Liaison: Facilitate monthly meetings with physicians and administrative leadership to discuss office organization, staffing, and workflow effectiveness.
- Policy Stewardship: Ensure compliance with safety and infection control codes required by regulatory agencies.
- Back-up Support: Serve as the primary contingency for all office functions, maintaining competency to fill in any support staff position.
Qualifications
- High school diploma.
- Medical Assistant (MA) diploma.
- Management experience.
- MA experience in both front and back office.
- Proven skill in strategic planning, workflow organization, and task delegation.
- Ability to audit office procedures and identify efficiency improvements.
- Expert problem-solving skills in scheduling conflicts and staffing shortages.
- High proficiency in both verbal and written communication.
