Job Summary
Our client is seeking a Front Desk Receptionist to be a pivotal part of their healthcare team, ensuring efficient operations and exceptional patient experiences. The ideal candidate will manage patient interactions, coordinate appointments, and maintain administrative systems.
Key Responsibilities
- Welcome patients promptly and courteously upon arrival, ensuring proper check-in in the EMR system.
- Assist patients in completing required forms and documentation, review registration materials with new patients, and copy insurance cards and identification according to protocol.
- Respond to patient inquiries with empathy and urgency, providing clear guidance and support.
- Answer phones professionally and efficiently, triaging calls to the appropriate person or department.
- Create and maintain patient charts in the EMR system, coordinating with referring physician offices to ensure all necessary records are received before appointments.
- Manage physician schedules to support smooth daily operations.
- Complete various physician requests, including ordering reports and placing phone calls as needed.
- Support patients in scheduling and ordering labs or imaging as directed by oncologists and obtain insurance authorization when required.
- Update and maintain accurate patient demographics and notify the financial counselor of any insurance changes.
- Collect and process patient copays in accordance with clinic protocols.
- Sort, open, and distribute incoming mail, faxes, emails, and EMR inbox messages.
- Foster and maintain positive relationships with referring physician offices and hospital staff.
- Process physician dictations for distribution in a timely manner.
- Coordinate with the answering service to appropriately route evening and weekend calls.
- Oversee front office operations in line with established policies and procedures.
- Maintain composure in challenging situations and provide service recovery as needed using strong customer service skills.
- Communicate effectively and contribute to a team-oriented work environment.
- Respect patient confidentiality and uphold professional standards.
- Maintain reliable attendance and punctuality.
- Demonstrate a professional appearance and attitude at all times.
- Follow clinic safety policies and procedures.
- Participate in scheduled staff meetings.
- Assist in reviewing and updating front desk policies and procedures.
- Support the training and orientation of new staff as assigned.
- Perform other duties as required.
Qualifications
- 2+ years of Medical Front Desk Experience
- EMR Experience
- Experience with Government and Commercial insurances (Preferred)

- Technical skills in EMR systems
- Exceptional communication and customer service skills
- Ability to work effectively in a team-oriented environment
