Surgery Scheduler – Full-Time, On-Site (M–F)
Schedule: Monday–Friday, full-time
Position Summary
The Surgery Scheduler is responsible for coordinating and scheduling surgical and procedural appointments, ensuring accuracy, efficiency, and an excellent patient experience. This role requires strong communication skills, attention to detail, and the ability to work collaboratively with providers, clinical teams, and external facilities.
Key Responsibilities

Greet and assist patients professionally via phone and in person.

Verify patient demographics, insurance details, and required pre-op testing.

Schedule and reschedule surgeries, procedures, and pre-operative appointments.

Serve as the main point of contact for providers, staff, facilities, and patients regarding scheduled procedures.

Confirm surgery details with patients and review preparation instructions.

Prepare and submit necessary paperwork for referrals, authorizations, and facilities.

Manage daily provider schedules and distribute updates.

Maintain strict patient confidentiality and follow HIPAA guidelines.

Coordinate with billing to ensure accurate procedure charges.

Work in Epic work queues to schedule surgeries and send patient communications (calls/MyChart).

Enter and update referral information, clinical notes, and CPT codes.

Communicate with providers and surgical reps to confirm device needs and support requirements.

Track case volume and schedule cases based on management direction.

Provide coverage for team members when needed.
