Job Summary
Our client is seeking a Scheduler responsible for managing patient appointments, handling referrals, coordinating physician schedules, and ensuring a smooth operation of the front office. The goal is to provide efficient scheduling and administrative support within a medical office setting.
Key Responsibilities
- Schedule new patients and return appointments according to physician and office guidelines.
- Cancel or reschedule appointments based on physician schedule changes and notify clinic personnel.
- Obtain and enter authorization and related correspondence in patient charts and computer systems.
- Handle outpatient appointments, testing, and hospital admissions upon request.
- Obtain necessary pre-certification and manage new patient referrals.
- Collect co-pays, deductibles, and other out-of-pocket expenses at the time of visit.
- Maintain primary office scheduling book for all physician-related activities.
- Handle phone calls from patients for scheduling or rescheduling appointments.
- Provide patients with appointment cards and document missed visits, following up for rescheduling.
- Arrange financial counseling for patients as needed.
- Ensure patient confidentiality to protect patient and clinic information.
- Follow office policies and procedures for efficient front office operations.
- Cover other front office functions as required.
Qualifications
- High School diploma or equivalent required.
- At least 3 years of office experience, preferably in a medical office setting.
- Excellent communication skills, both written and verbal.
- Proficiency with computer systems; Microsoft Outlook, Word, and Excel a plus.

- Minimum 3 years of office experience, medical office experience preferred.
