Job Summary
Our client is seeking a Document Program Manager who will head the document control department, leading a team and developing procedures to ensure compliance with document control processes. The role involves managing the document life cycle within the Document Management System and ensuring proper communication of revisions to personnel. The Manager will also support periodic reviews and assist owners and authors as necessary. Additional responsibilities include leading system efficiencies, fostering a positive team environment, and aligning individual and organizational goals.
Key Responsibilities
- Enhancing document management systems, governance, and processes.
- Ensuring proper classification, storage, and accessibility of documents.
- Ensuring compliance with relevant regulations and standards.
- Assisting in assessment, acquisition, or deployment of new electronic document management systems.
- Leading and developing teams.
- Updating knowledge about emerging industry or technology trends.
- Maintaining policies and procedures for controlled document review and storage.
- Engaging in periodic review of controlled documents within the DMS.
- Communicating release and obsoletion of documents to stakeholders.
- Conducting audits of documentation practices and implementing improvements.
- Maintaining redundancy and business continuity through managed document storage.
Qualifications
- Bachelor’s degree preferred with 2-5 years experience in a GLP-compliant laboratory.
- Certified Records Manager or other relevant designations preferred.
- 2-5 years experience in team leadership, employee development, and conflict resolution.
- Proficient with Microsoft Office and Document Control Software.
- Experience with electronic signature solutions and workflow automation tools preferred.
Skills
- Strong communication and teamwork skills.
- Excellent time management, organization, and prioritization abilities.
- Proficiency in problem-solving and attention to detail.
- Understanding of version control, file naming conventions, and document management lifecycle.
- Preferred experience with Master Control, SharePoint, and SmartSheets.
Additional Requirements
- Ability to spend the majority of the day sitting.
- Ability to lift and carry up to 20lbs.
- Willingness to work extended hours, including evenings and weekends, sometimes on short notice.
