A central contact for information on assigned account implementation(s), this role is responsible for ensuring goals of prompt and quality-focused account transition and onboarding.
Success in this position relies on developing good working relationships with internal and external clients, which necessitates frequent visits to the hospital facility and the corporate office. The AIPM provides clarity and guidance by delivering:
Project Scope and objectives: define goals, timelines, and set clear expectations for all stakeholders.
Plan and schedule: create a roadmap that outlines the steps needed to complete the project, including timelines, resource allocation and responsibilities.
Progress and performance: track project progress to take corrective action as needed.
Challenges and risk identification and avoidance: stay ahead of potential risks and problems that could impact the project's success. Identify and manage risks and issues, taking action as necessary.
Communication: keep stakeholders up to date to keep project moving forward and avoid issues that can arise from communication silos.
Essential Functions:
-- Project Planning and Due Diligence
-- Lead frequent and regular internal and external meetings with requisite agenda of implementation, attendance, minutes and action plans developed and tasks assigned and monitored.
-- Prepare a list of key meetings with key individuals pre and post implementation
-- Schedule and coordinate meetings between key personnel and key facility personnel
-- Confirm and send reminders and directions to meetings
-- Actively solicit notes and information with respect to meetings
-- Enter information into a repository as instructed by PM Director and VP of Ops
-- Liaison between internal departments to ensure proper communication channels are open and information is adequately collected or shared.
-- Liaison with external customers, respond to inquiries and assist with problem resolution as requested by VP of Business Development
-- Facility Staffing
-- Assist Client Development with staffing models and subsequently track and trend the efficacy and cost effectiveness of the deployed model.
-- Oversee acquisition of provider pricing data and provide budgeted verses actual reports
-- Work closely with Credentialing and Recruitment to manage a communication mechanism to ensure that they have the latest project information at hand as well as a single point of reference for credentialing and recruitment updates.
-- Complete management and coordination of the orientation process
-- Work with anesthesia administrator to develop contingency plans for both planned (vacation) and unplanned shortages and resolve escalated issues with regards to staffing
-- Documentation
-- Ensure that the Data and RFP Management are tracked in a system as required by the Director of PM and VP of Operations.
-- Documentation types include but are not limited to: RFP numerical data; RFP prose data; Meeting notes data; 3rd Party payer contracting data; Recruitment and retention data; Quality management data.
-- Account facilitation and oversight
-- Ensures completion of all legal and tax paperwork by Finance
-- Ensures provider and payer contracts completed and on file and in system.
-- Ensures medical license, DEA and credentialing data entered on file and in system.
-- Ensures each practice is set up in relevant systems and necessary administrative tasks have been assigned and are being worked through.
-- Coordination and general administration
-- Assist with presentations & reports utilizing a variety of media, software programs, etc.
-- Arrange and schedule meetings and ensure appropriate meeting logistics (equipment, refreshments, etc.) are arranged for and available, as may be required.
-- Attending committee or staff meetings, preparing and providing reports of these meetings.
-- Coordinate travel arrangements and electronic calendar/scheduling as requested.
-- Provide various duties as requested, including copying, filing, faxing, shipping packages, etc.
