Job Summary
Our client is seeking a Scheduling Coordinator for an Oncology Clinic. This role involves coordinating the provider’s clinic, procedure, and infusion schedules. The Scheduling Coordinator acts as a patient advocate, responsible for patient introduction to the clinic, determining support service needs, and providing information in a professional manner. This is an advanced clerical position that requires interacting with internal and external contacts such as providers, office staff, hospitals, and patients.
Key Responsibilities
- Provide front office support and coordinate patient set-up and ongoing coordination in the Hematology/Oncology department.
- Greet and check patients in electronically according to clinic preference.
- Obtain, verify, and update registration information, and notify appropriate staff of changes.
- Schedule complex patient appointments including provider, imaging, laboratory, surgical, chemotherapy, radiation therapy, and/or concurrent therapies.
- Coordinate and schedule patient pre-procedure and post-procedure appointments.
- Maintain and manipulate provider clinic schedules using Epic and MS Outlook programs.
- Answer telephone calls and in-basket messages promptly, screen for urgency, and provide assistance while protecting confidentiality of information.
- Complete necessary forms and communications.
- Adhere to attendance and punctuality standards and contribute to organizational success by performing duties as needed or assigned.
Qualifications
- Knowledge of medical terminology, ethics, and practices.
- Proficiency in personal computer systems and related software.
- Familiarity with medical office procedures, insurance plans and coverages.
- Skill in interpersonal, oral, and written communications, time management, and customer service.
- Ability to work independently, exercise discretion, and maintain confidentiality of records.
- Ability to handle difficult situations in a professional manner and manage detailed assignments efficiently under pressure.
Experience
- Two years of clerical experience in a medical environment.
- Experience using EPIC with Cadence and Beacon knowledge is highly desired.
Education
- High school graduate or equivalent is required.
- AA degree in business or medical records management is preferred.
