The Satellite Office Manager plays a crucial role in overseeing the daily operations, clinical departments, and staff of our Denver care center. Your leadership will directly impact patient care quality, staff development, and operational efficiency, contributing significantly to the overall success of the center. Your management skills are essential for providing safe, effective, and patient-centered care in a rapidly changing healthcare landscape.
What You Will Do
As the Satellite Office Manager, you will be responsible for the supervision and management of staff, ensuring high-quality customer service, efficient financial operations, and exceptional patient care. You'll collaborate with other managers to foster teamwork and cooperative working relationships within the satellite offices. While taking direction from physicians regarding patient care, you will also function independently, capable of multi-tasking and attentive to details. This role reports to the Executive Director.
Key responsibilities include:
- Ensure high-quality customer service, effective collaboration, efficient communication, and professional patient interactions.
- Provide direct supervision, leadership, and guidance to staff, assisting with the daily coordination of office staffing and scheduling.
- Manage all PTO requests and review, correct, and approve staff timecards each pay period.
- Conduct monthly meetings with Satellite Office staff to communicate new policies and procedures and collaborate to strengthen overall productivity.
- Attend monthly department manager meetings (Lone Tree office) to ensure continuity throughout our Colorado clinics.
- Conduct ongoing staff training to improve customer service, patient interaction, and standard of care; counsel staff as needed.
- Collaborate with physicians and staff to facilitate problem-solving and process improvement to ensure smooth, efficient, and productive workflow.
- Interview and hire new staff, coordinate new hire orientation, and ensure a well-rounded onboarding experience.
- Provide direction and support to staff regarding difficult patient situations and/or interactions.
- Complete interim and annual evaluations for all assigned staff.
- Coordinate office cleaning and maintenance, conduct safety drills quarterly or as needed.
- Serve as a backfill resource for any position needed due to a staffing issue.
- Other duties as assigned.
What You Bring
- Associate of Nursing degree or Bachelor's degree in Healthcare Management or Healthcare Administration required.
- Bachelor of Nursing degree preferred.
- 3+ years of nursing experience preferred.
- 2+ years administrative experience required.
- 2+ years supervisory or management experience required.
- Proficient with using computers, basic office equipment, and Microsoft Office/M365.
- Maintain strict confidentiality for all patient and clinic information, consistent with established security and confidentiality policies and HIPAA regulations.
- Understand and assess for potential domestic violence or child abuse and reporting responsibilities. Will report all concerns to the Medical Director.
