Job Summary

The Scheduling Coordinator - Oncology Clinic is responsible for providing coordination of the provider’s clinic, procedure, and infusion schedules. This role involves representing our client in a professional manner, assisting all patients, customers, and guests of the clinic in person, via the telephone, or electronically. The Scheduling Coordinator acts as a patient advocate, ensuring a seamless introduction to the clinic, determining support service needs, and providing necessary information. The position demands a well-organized individual with excellent judgment, responsible for interfacing with both internal and external contacts to the organization.

Key Responsibilities

• Provides front office support, ensuring professionalism and coordination for patients in the Hematology/Oncology department.
• Greets and electronically checks patients in upon arrival, verifying and updating registration information.
• Accurately schedules complex patient appointments across various services, collaborating with relevant staff and departments.
• Coordinates and schedules patient pre-procedure and post-procedure appointments.
• Manages provider clinic schedules using both Epic and MS Outlook, accommodating various provider commitments.
• Handles telephone calls and messages promptly, providing assistance and confidentiality as required.
• Completes necessary forms, requisitions, and communications.
• Adheres to organizational attendance and punctuality standards, contributing to organizational success by performing assigned duties.

Qualifications

• Knowledge of medical terminology, ethics, and practice.
• Proficiency in using personal computers, related systems, and software.
• Familiarity with medical office procedures, insurance plans, and confidentiality policies.
• Excellent interpersonal, oral, and written communication skills.
• Ability to manage time effectively and provide top-tier customer service.
• Competence in handling sensitive situations with professionalism.

Experience

• Two years of clerical experience in a medical environment.
• Experience with EPIC (Cadence and Beacon knowledge) is highly desired.

Education

• High school graduate or equivalent required.
• AA degree in business or medical records management preferred.
