Job Posting: Surgical Case Coordinator

Position Overview:
We are seeking a detail-oriented and experienced Surgical Case Coordinator to join our team. This role is critical to ensuring the seamless coordination of surgical cases, managing pre-operative preparations, and maintaining high standards of patient care and administrative efficiency.

Essential Duties and Responsibilities:

  • Oversee and manage the continuum of surgical case coordination within department standards.
  • Coordinate, schedule, and authorize pre-operative clearance testing (e.g., cardiac, pulmonary) and diagnostic imaging (e.g., CT, MRI, US, X-Ray) as ordered.
  • Effectively coordinate surgical cases between patients, co-surgeons, vendors, first assists, and facilities.
  • Ensure accurate documentation and capture of all reports (e.g., pathology, post-operative notes) in patient charts.
  • Review and confirm surgical details and pre-appointment instructions or protocols with patients (e.g., arrival, bowel prep).
  • Audit and confirm appropriate referrals and authorizations in compliance with payor medical policies to prevent delays in reimbursement.
  • Evaluate service costs and execute financial clearance and patient care commitments prior to service delivery.
  • Manage physician operating room (OR) blocks with surgical facilities in accordance with facility policy.
  • Provide administrative support and problem-solving for providers to manage complex issues.
  • Maintain patient records with accuracy and ensure all parties have updated information in designated systems.
  • Adhere to HIPAA guidelines and maintain strict confidentiality.
  • Other duties as assigned.

Qualifications:

  • High School diploma or equivalent required.
  • Minimum of three (3) years of medical office or hospital experience with progressive responsibility, or an equivalent combination of education and work experience.
  • Clinical experience as a Medical Assistant or Surgery Scheduler preferred.
  • Proficiency in medical and surgical terminology.
  • Knowledge of insurance benefits, eligibility, and authorization procedures.
  • Familiarity with multiple Practice Management Systems (PMS) and Electronic Health Records (EHR) platforms preferred.
  • Experience with Microsoft Office products (Outlook, Word, Teams, Excel) required.
  • Must successfully complete onboarding courses and training within 45 days of starting.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.

Hours: 40 hours/week - Mon-Thur 8:30am-5, Fri 8am-4:30pm

Location: Dallas, 75246

Benefits: In order to be eligible for health benefits, you must be employed for 30 days and must average 30 hours per week over your first four weeks on assignment. If you become eligible and take action to enroll, you will be covered no earlier than 60 days into your assignment, depending on plan selection(s).
