Shipping & Receiving Supervisor, Specimen Management

The Supervisor for Specimen Management is responsible for staffing, training, and supervising assigned personnel within the Specimen Management area, with a focus on overseeing the shipping and receiving functions. This position ensures that all operations within the department comply with GLP requirements, protocols, SOPs, and sponsor-specific requirements, through proactive management and coordination of resources. The Supervisor will oversee shipping/receiving operations, manage the workflow of specimens, ensure proper documentation, and track shipping timelines to ensure that all shipments are completed accurately and on time. Additionally, this role ensures compliance with all relevant shipping regulations and proper import/export documentation.

Essential Job Responsibilities:

  • Ensure staff maintain Good Laboratory Practices (GLP) and adhere to SOPs and sponsor-specific requirements.
  • Create, review, and revise workload and scheduling to ensure optimal results for both specimen management and shipping/receiving activities.
  • Monitor progress of studies to ensure timely response, track and monitor shipping timelines, and oversee shipping audits for compliance.
  • Oversee and supervise all aspects of shipping and receiving, including the preparation, packaging, and documentation of specimens for shipment.
  • Ensure that all specimens are shipped in compliance with regulatory requirements, including ensuring valid import permits and certificates are obtained and maintained.
  • Coordinate with external shipping agencies and regulatory bodies to ensure timely and compliant shipping of specimens.
  • Supervise the receipt of incoming specimens, ensuring accurate and efficient logging, inspection, and distribution within the laboratory or appropriate areas.
  • Review and ensure that all necessary paperwork, including shipping labels, manifests, and import/export certificates, are completed and compliant with regulations.
  • Ensure proper inventory management of shipping materials and supplies, ensuring they are available and prepared in advance.
  • Manage and communicate the training required for the team on shipping, receiving, and specimen handling procedures.
  • Oversee and ensure the proper handling and storage of received specimens, tracking their status within the department.
  • Monitor and report on department performance, identifying areas of improvement in shipping and receiving processes.
  • Collaborate with Study Directors, Coordinators, Pathologists, Laboratory staff, Vivarium staff, and shipping agencies to ensure smooth coordination of shipments and receipt of specimens.
  • Ensure that all shipments are made in accordance with established timelines, and that specimens are tracked from shipment to delivery.
  • Ensure that data/equipment are accurate, complete, consistent, and compliant with GLP/SOP standards.
