Job Description

The Remote Ophthalmology Service Specialist works as part of a team facilitating patient care and is often the first contact patients have with the organization. As a liaison of the practice, the Ophthalmology Call Service Specialist is responsible for initiating the intake process by gathering patient information and scheduling appointments.

Responsibilities/Job Duties:

• Operate a multi-line cloud-based phone system.
• Schedule new and returning patient appointments.
• Enter and review patient demographic and insurance information.
• Manage and maintain appointment schedules, confirming, canceling, and moving patient appointments as needed.
• Ensure patients are rescheduled or placed in recall status.
• Retrieve and respond to messages left on the scheduling message line and online message formats.
• Answer patient and family questions during the intake process or relay questions to the physician and/or triage department.
• Accept inquiries, return calls, and prioritize urgent patients efficiently.
• Coordinate with patient care representatives to facilitate insurance processing.
• Document notes or special instructions in the electronic medical record.
• Communicate the need for prior authorization as necessary.
• Assist other department members as needed.
• Ensure call quality and metrics (KPI's) align with company expectations.

Minimum Education and Experience Qualification Requirements:

• High school diploma or equivalent.
• 2 to 3 years of high-level customer service/concierge experience.
• Minimum 1 year of remote phone experience preferred.
• Minimum 1 year of medical appointment scheduling experience (ophthalmology or optometry preferred).
• Effective communication skills and ability to work as a team member with physicians and staff.
• Flexible hours and willingness to travel to all offices and outreach clinics as needed.
