Job Summary
We are seeking a dedicated and capable Medical Information Specialist to streamline our patient experience by supporting our medical records department. This position is responsible for maintaining and releasing accurate and complete patient medical records, chart preparation, and phone operator support.

Our Medical Information Specialist's responsibilities include (but are not limited to) detailed maintenance of accurate incoming medical record documentation and delivering a high level of customer service while answering all incoming calls with internal team members, patients, and customers in a respectful manner.

To be successful in this role, you should exhibit exceptional customer service abilities to align with our client's dedication to a positive patient experience. Outstanding medical information specialists are detailed and accurate while striving for efficiency. As this role is a vital part of our organization, active communication and respectful collaboration with peers is essential.

Job Duties:
  • Scanning
    • File health information for completeness, timeliness, and accuracy.
    • Scan and file information into patient records.
    • Purge and store patient charts/imaging per policy.
    • Request archived records as needed
  • Chart Prep
    • Proactively prepare, compile, and organize patient charts in an orderly fashion for office visit.
    • Review previous documentation for orders and instructions that must be completed before the patient visit. Ensure everything has been received and notify the appropriate staff member if there is missing documentation so the patient can be contacted and rescheduled if necessary.
    • Verify the patient's documentation (medical history, HIPAA, etc.) is up-to-date.
    • Print required clinic documents.
    • Request office notes, operative reports, imaging, labs, physical therapy notes, past injection records, etc., from the hospital or other providers. Call healthcare facilities to obtain missing testing reports or images (at the time of visit if forgotten).
  • Medical Record Request
    • Receive and process requests for patient health information in accordance with Company and Facility policies and procedures.
    • Process charts for medical records requests, including itemized statements when requested.
    • Collection of fees for records in accordance with Company and Facility policies and procedures.
    • Document all requests.
  • Phone Operator
    • Deliver high customer service while answering incoming phone calls during normal business hours in accordance with Company policies and procedures.
    • Ensure urgent calls are answered promptly and directed appropriately.
    • Collaborate with all necessary team members in a respectful manner to ensure the department operations are efficiently and effectively maintained.
    • Perform other related duties as assigned or requested.
Qualifications:
  • At least 6+ months of medical office experience
