Job description

Clerical Duties:

  1. Patient Reception & Scheduling:

    • Greet patients, check them in and out, and assist with any questions or concerns.
    • Schedule, confirm, and reschedule patient appointments, ensuring the schedule runs efficiently.
    • Answer phone calls, respond to inquiries, and direct patients to the appropriate staff member or department.
    • Manage patient flow, ensuring patients are seen promptly and efficiently.
  2. Medical Records Management:

    • Maintain accurate patient records in the Electronic Health Record (EHR) system.
    • Update patient information as needed and ensure the confidentiality and accuracy of all records.
    • Prepare and organize patient charts for daily appointments and procedures.
    • Assist with the retrieval and filing of patient records, ensuring compliance with HIPAA regulations.
  3. Billing & Insurance Verification:

    • Verify patient insurance information and assist with obtaining pre-authorizations for services.
    • Collect co-pays, deductibles, and payments from patients at the time of service.
    • Process and manage billing, coding, and insurance claim submissions.
    • Follow up on unpaid balances and assist in resolving billing discrepancies.
  4. Office Management:

    • Maintain a clean, organized, and professional front office environment.
    • Order and manage office supplies and equipment inventory.
    • Handle incoming and outgoing mail, faxes, and emails.
    • Assist in preparing office reports and maintaining office documentation.

Clinical Duties:

  1. Patient Care & Preparation:

    • Take and record vital signs (e.g., blood pressure, temperature, heart rate, weight).
    • Assist patients in preparing for exams, ensuring they are comfortable and informed.
    • Prepare examination rooms by ensuring necessary medical equipment and supplies are available and sanitized.
    • Provide patients with education and instructions for preparing for specific exams or procedures.
  2. Clinical Assistance:

    • Assist healthcare providers during patient exams and procedures (e.g., taking patient histories, preparing patients for minor surgeries or treatments).
    • Administer injections, immunizations, and medications as directed by healthcare providers.
    • Perform basic laboratory tests (e.g., urinalysis, blood glucose monitoring) and assist with specimen collection.
    • Assist in minor office-based procedures (e.g., wound care, applying dressings).
    • Sterilize and maintain medical instruments and equipment following infection control protocols.
  3. Patient Follow-Up & Coordination:

    • Educate patients on post-visit care, medication usage, and follow-up instructions.
    • Assist in scheduling patient referrals, lab tests, and follow-up appointments.
    • Communicate lab results, medication instructions, and other important information to patients as directed by healthcare providers.
