Key Responsibilities:

• Patient Interaction:

  • Greet patients and visitors with a warm and professional demeanor.
  • Check patients in and out for appointments, ensuring all necessary information is collected.
  • Answer phone calls promptly, address inquiries, and direct calls to the appropriate personnel.
  • Schedule, reschedule, and confirm patient appointments.
  • Provide patients with necessary forms and assist with completing them if needed.

• Administrative Duties:

  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • Verify patient insurance information and process insurance authorizations and referrals.
  • Collect co-pays and other payments at the time of service.
  • Prepare and manage patient charts, ensuring all required documents are included.
  • Assist with billing and coding as needed, including entering charges and payments into the system.
  • Handle incoming and outgoing mail and correspondence.

• Office Coordination:

  • Ensure the waiting area and front desk are clean, organized, and stocked with necessary supplies.
  • Coordinate with clinical staff to ensure smooth patient flow and timely service.
  • Manage office supplies inventory and place orders as needed.
  • Assist with organizing and scheduling surgeries and follow-up appointments.
  • Handle administrative tasks such as faxing, scanning, and copying documents.

• Customer Service:

  • Provide excellent customer service by addressing patient concerns and complaints promptly and professionally.
  • Educate patients about office policies, procedures, and services.
  • Assist patients with understanding their surgical procedures and postoperative care instructions.
