Job description

Position Overview: The Medical Front Desk Receptionist/Administrative Assistant plays a crucial role in the efficient operation of an orthopedic office. This position is responsible for providing exceptional customer service to patients, managing administrative tasks, and ensuring the smooth flow of daily operations.

Key Responsibilities:

  1. Patient Reception and Communication:

    • Greet patients warmly as they arrive at the office.
    • Manage patient check-in and check-out processes efficiently.
    • Answer phone calls, schedule appointments, and provide information to patients regarding services, procedures, and insurance coverage.
    • Maintain patient confidentiality and handle sensitive information with discretion.
  2. Administrative Support:

    • Maintain electronic medical records (EMR) accurately and ensure all patient information is up to date.
    • Verify insurance coverage, collect co-payments, and process payments accurately.
    • Assist with completing necessary forms and paperwork for patient appointments, referrals, and insurance claims.
    • Coordinate with medical staff and other departments to facilitate patient care and resolve inquiries or issues promptly.
  3. Office Coordination:

    • Manage the reception area, ensuring it is clean, organized, and stocked with necessary supplies.
    • Coordinate scheduling and room assignments to optimize provider availability and patient flow.
    • Assist with managing inventory and ordering office supplies as needed.
    • Collaborate with other administrative staff to ensure smooth operations and provide backup support when necessary.
  4. Customer Service Excellence:

    • Provide exemplary customer service to patients, visitors, and colleagues, demonstrating empathy, professionalism, and patience.
    • Address patient concerns or complaints promptly and escalate issues as necessary to ensure resolution.
    • Act as a liaison between patients and medical staff, conveying messages accurately and efficiently.

Qualifications:

  • High school diploma or equivalent; additional education or training in healthcare administration is a plus.
  • Proven experience in a similar role, preferably in a medical or orthopedic office setting.
  • Proficiency in computer skills, including EMR systems, MS Office Suite, and basic office equipment.
  • Strong communication skills, both verbal and written, with the ability to interact effectively with diverse individuals.
  • Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Knowledge of medical terminology, insurance verification, and billing processes is advantageous.
  • Ability to maintain professionalism and composure in fast-paced environments while delivering high-quality customer service.
