PLEASE NOTE - Applicants must be local to Pittsburgh, as the first 3-4 weeks are in person training PRIOR to working remotely! Applicants also must have scheduling appointment experience within a healthcare setting.
Job Title: Remote Ophthalmology Service Specialist
Location: Pittsburgh, PA - Initial in-person training, then remote
Hours: Monday to Friday, 8:00 AM to 4:30 PM
Compensation: $17 per hour
Are you passionate about patient care and communication? Join our team as a Remote Ophthalmology Service Specialist! In this role, you will play a crucial part in facilitating patient care and be the initial point of contact for individuals seeking our services. The first 3-4 weeks will involve in-person training, followed by remote work.
Essential Job Functions/Duties:
1. Operate a multi-line cloud-based phone system.
2. Schedule new or return patient appointments.
3. Enter and review patient demographic and insurance information.
4. Manage and maintain appointment schedules.
5. Confirm, cancel, and reschedule patient appointments.
6. Ensure patients are rescheduled or placed in recall status.
7. Retrieve and respond to messages left on the scheduling message line and the online message format.
8. Answer patient and family questions during the intake process or relay questions to the physician and/or triage department.
9. Accept inquiries, return telephone calls, and prioritize urgent patients efficiently.
10. Coordinate with patient care representatives to facilitate insurance processing.
11. Enter notes or special instructions required for scheduling in the electronic medical record.
12. Communicate the need for prior authorization to appropriate parties.
13. Assist other members of the department as needed.
14. Ensure call quality and metrics (KPI's) are in line with company and role expectations.
Minimum Work Experience/Educational Requirements:
- High school diploma or equivalent.
- Minimum 1-year Medical Appointment Scheduling experience (ophthalmology or optometry preferred).
- Ability to communicate effectively and work compatibly as a team member with physicians and other staff members.
- 1-year minimum of remote phone experience preferred.
- Must be able to work flexible hours and travel to all offices and outreach clinics as dictated by the needs of the practice.
- Working knowledge of Windows-based programs.
- Working knowledge of systems (PODIS, MDI, and/or Nextech preferred).
- 3 to 5 years of Microsoft Office experience required, as well as PC Hardware and troubleshooting.
- 2 to 3 years of a high level of customer service/concierge.
